We need to continue developing strategic alliances and stronger partnerships with parents, parishes, local government, business and community services and explore options to co-locate schools with community health centres, kindergartens and activity centres.

    Overview

    Catholic Education Melbourne, through the Information Technology Services (ITS) Unit, assists Catholic schools in the management of email, bandwidth, internet traffic, IT security and school networks.

    IT Helpdesk

    The IT Helpdesk provides dedicated IT services to schools and CEM staff from 8 am until 5.30 pm. The Helpdesk continued to provide support to schools in 2015.

    IT Infrastructure

    The ITS business unit provides dedicated IT services to Catholic Education Melbourne staff and schools. This includes the operational management and security monitoring of the infrastructure for the Catholic Education Victoria Network (CEVN) connecting all Victorian Catholic schools and Catholic Education Offices. It also includes the provision of managed internet from Telstra and AAPT as well as free peering content from Google and Apple. All access is managed by central devices and includes filtering using Zscaler.

    Managed infrastructure included the CISCO Videoconferencing end points, gateway and virtual meeting room hardware and the hosting systems for the CEVN, Catholic Education Melbourne and Catholic Network Australia (CNA) websites, portals and related applications.

    Other hardware included the Sharepoint infrastructure for parts of the Integrated Catholic Online Network (ICON), and gabriel (staff intranet) and the dedicated applications for Finance, Payroll and Records Management. Within Catholic Education Melbourne all the desktop, laptop and directors’ tablet devices are managed by IT services, along with the fleet of mobile phones. A managed print services solution utilising multifunction printer/ scanner photocopiers has also been implemented across the whole of Catholic Education Melbourne’s facilities.

    Applications

    The ITS Unit provided oversight and maintenance of the CEVN and Catholic Education Melbourne applications including the Catholic Information System (CIS), Online Staffing Records (OSR), the Personnel Record System (PRS) and the Long Service Leave (LSL) calculator and the school Census functions.

    Student Attendance Reporting

    The Student Attendance Reporting system was introduced in 2013 for the first 20 weeks of the year and was extended in 2015 to cover Term 3 as a second collection. For many schools, this system harvests student attendance data from their systems and stores the aggregated data centrally. When the data is confirmed by the school it is automatically uploaded to the Australian Government Department of Education (AGDoE) for the MySchool website in 2016. Schools without compliant attendance systems aggregate the data themselves and upload directly to the School Services Point.

    The ITS Unit also provides support for the Students with Disability (SWD) funding application system and the School Improvement Planning and Reporting system (SIP).

    Data

    The ITS unit also acted as a data custodian for much of the school and corporate data required for regulatory compliance and for strategic planning and is contained within the CEVN and Catholic Education Melbourne applications. This includes systems that monitor usage of the Victorian Student Number (VSN) and registration of teachers with the Victorian Institute of Teachers VIT as well as the Working with Children Check for school and office staff.

    Data was provided through various reporting services including Business Intelligence tools. The ITS unit also provided project management services to the CECV and Catholic Education Melbourne, and offers IT advice to schools and other Catholic Education Melbourne Staff Groups.

    Other Initiatives

    • Updated the flexible workplace agreement application system
    • Upgraded links to all 496 schools in 2015 effectively tripling the bandwidth availability
    • Consolidation of traffic management via a central appliance.
    • Implemented private cloud infrastructure.
